How racket-sports clubs grow and run a WhatsApp Community the right way

A practical guide to building, growing and managing a WhatsApp Community for your padel, tennis or pickleball club - the structure, the growth tactics, the rules and the weekly rhythm that turn chat into bookings.

Almost every racket-sports club already runs on WhatsApp. The trouble is that it usually runs on a dozen ad-hoc groups that fill with noise, go quiet for weeks, then explode at 11pm when someone needs a fourth player. A WhatsApp Community fixes that - but only if you build it with structure, grow it on purpose and manage it with a light, consistent hand. Here is how to do all three.

1. Build the structure first

Do not open one giant group. Create a WhatsApp Community with:

  • One announcement channel only admins can post to - open courts, events, deadlines.
  • Topic groups split by sport and level: padel beginners, padel competitive, tennis, pickleball, leagues.
  • A clear link to your booking system so every message can become a reservation.

Structure decides everything that follows. A tidy Community is easy to grow and easy to moderate; a single 900-member group is neither.

2. Grow it on purpose

Communities do not grow by accident. Make joining the default everywhere:

  • Put the join link and a QR code at the front desk, on every court, and in your booking confirmation.
  • Add it to your landing page, Instagram bio and Google profile.
  • Ask every coach to invite their group at the end of each session.
  • Run a simple referral: a free court hour for the member who brings the most new players this month.

The goal is that no one books a court without being one tap away from the Community.

3. Set the rules before you need them

A pinned message at the top of every group should say, in two lines, what the group is for and what is not allowed. Cover:

  • No selling or spam from members - the announcement channel is the only place for promotions.
  • Stay on topic - match-finding in the match group, chat in the social group.
  • Be respectful - one warning, then removal.

Rules you write on day one are easy to enforce. Rules you invent during an argument are not.

4. Keep a weekly rhythm

A Community dies from silence, not from too many messages. Pick a simple cadence and stick to it:

  • Daily: one open-court broadcast for tonight's empty slots.
  • Weekly: league standings, a partner-matching post, and next week's events.
  • Monthly: a member spotlight and a short "what's new" note.

Predictable beats clever. When members know Monday brings the league table and every evening brings open courts, they keep the app open.

5. Moderate without burning out

You should not be answering the same questions at midnight. Reduce the load:

  • Mute non-urgent groups overnight and tell members when admins are online.
  • Pin the booking link and an FAQ so the obvious questions answer themselves.
  • Appoint one or two trusted members as co-admins per group.
  • Handle conflict in private DMs, not in front of 200 people.

6. Turn the chat into bookings

A Community is only worth the effort if it drives revenue. Close the loop:

  • Every "2 spots left tonight" broadcast should link straight to checkout.
  • Let members book, pay and find partners without leaving the chat.
  • Send automatic "your court is confirmed" and "you have an open slot" nudges.

That is the difference between a chat group and a booking engine.

7. Measure what matters

Track three numbers: how fast the Community is growing, how many people open your broadcasts, and the share of bookings that started with a Community message. When that last number climbs, the channel is paying for itself.

A WhatsApp Community is the cheapest growth and retention engine a racket-sports club has - if it is structured, fed on a rhythm and tied to bookings. kortbase wires the Community, the booking engine and the back office into one system, so members can transact right inside WhatsApp and you finally see the whole loop end to end.
