Data deletion

This page explains how to have personal data deleted from kortbase, who to ask, and what happens after you ask. It is the short, practical version; what we collect and why is in the Privacy Policy.

Which route applies to you

There are two. If you are a member of a club that uses kortbase, the club decides how your data is used: it is the data controller and kortbase only handles member data on the club's written instructions. Ask your club first, and we will help the club carry the request out. If you hold a kortbase sign-in yourself, as club staff or as a coach on coach.kortbase.com, ask us directly using the steps below.

How to ask for deletion

By email. There is no form to fill in and nothing to install.

  1. Email hello@kortbase.com from the address on the account, with “Data deletion” as the subject.
  2. Say which account to close: the email address or phone number used to sign in, and, if you are a club member, the name of your club.
  3. If you are asking on behalf of someone else, say whose data it is and in what capacity you are asking.
  4. We reply to confirm we have the request. We may ask you one question to establish that the account is yours, so that nobody can erase someone else's data by writing to us.
  5. We delete the data and write back to say it is done, within the period the applicable law allows: one month under the GDPR, thirty days under the KVKK.

What deletion covers

The profile and the contact details on it, the sign-in, the consent and messaging preferences held against it, the message history stored under that record, and the bookings and attendance tied to it. For a coach it also covers the public coach page, the availability and lesson history, and any certificate uploaded to the private document store.

What survives, and why

A small amount does, because the law requires it. Invoices and the accounting records behind them are kept for the period tax law sets. Anything held back for a legal obligation is kept for that obligation alone: it is not used to contact you and not used for anything else.

WhatsApp messages are in three places, not one

A conversation between a club and its members travels over Meta's WhatsApp Business Platform, so a copy of it also sits in WhatsApp on your own phone and in the club's WhatsApp account. Deleting your data at kortbase clears our systems; it cannot reach into your phone or into Meta's. Delete the thread in WhatsApp to remove your own copy, and ask your club about the club's. We do not train AI models on message content.

If you only want the messages to stop

Then you do not need this page. Members opt in before anything is sent, and a single message back to the club's assistant opts you out again. Deletion is the heavier request and it cannot be undone.

If we get it wrong

If we have not answered within the period above, or you disagree with what we did, say so at hello@kortbase.com. You can also complain to your data-protection authority: your national supervisory authority in the EU, or the Personal Data Protection Authority (KVKK Kurumu) in Turkey.
